Chatbot for business: a scripted bot or an AI administrator

Two very different things are sold under the word chatbot. Here is how to tell them apart and pick the one your business needs.

What a scripted bot does well

  • Shows services, prices, address and working hours.
  • Collects a name and phone number and passes them to a manager.
  • Sends notifications and reminders.
  • Costs little and is quick to set up.

Its limit is the script. A question that was not foreseen ends with a repeated menu, and a client who wanted an answer leaves.

What an AI administrator adds

  • Understands a question in free form, with typos and in several languages.
  • Answers only from the information you approved, and does not invent what it does not know.
  • Checks the schedule and books, reschedules or cancels.
  • Works in several channels from one knowledge base: phone, Telegram, website chat.
  • Hands the conversation to a person together with a short brief.

How to choose

Three questions are usually enough.

  • Do clients ask the same thing in the same order? If yes, a script will do.
  • Does the conversation need to end with an action in your systems, such as a booking? If yes, you need integration, not just answers.
  • Do requests come by phone as well? A text bot does nothing for calls.

What it costs

A scripted bot on a constructor is the cheapest option and is often enough to start. An AI administrator costs more because it includes integration with your calendar and CRM, testing on real conversations and ongoing support. Mistakes to avoid

  • Buying a bot before describing the process. First write down what the client asks and what must happen next.
  • No person behind the bot. Any system needs someone who receives the difficult cases.
  • Judging by the demo only. Ask to test it on your own services and your own awkward questions.
Is a chatbot in Telegram enough for a small business?

Often yes, if most of your clients write in Telegram and ask standard questions. If a large share of requests comes by phone, add voice or you will keep losing those clients.

Can an AI administrator give wrong information?

It should answer only from the knowledge you approved and hand anything outside it to a person. Ask any supplier how exactly this is enforced and test it yourself.
