What you are actually paying for
An AI receptionist is not a single app you switch on. It is a working system built around your business: channels, knowledge, booking logic and a clear path to a person when the AI should step aside.
A typical implementation includes:
- Connecting channels: phone line, messengers and website chat.
- A knowledge base with your services, prices, hours and rules.
- Booking into your calendar or booking system.
- Handover rules: which topics and requests go to a person.
- A ready brief for the manager in Telegram after each conversation.
- Integration with your CRM or Google Sheets, where needed.
Our stack is n8n, Vapi, ElevenLabs, OpenAI, Telegram, Google Calendar, Google Sheets and your CRM. You do not need to know any of it. You need to know what the system does and who owns it.
Two formats: support or handover
With support, we run the system after launch. We monitor conversations, update the knowledge base when prices or services change, refine answers and send a monthly report. The minimum term is 6 months, the period in which the system works on real enquiries and gets tuned to them.
With a one-time handover, we build the system, stabilise it for 14 days on live traffic and hand it over with documentation. After that your team or your own contractor maintains it. This suits businesses that already have someone technical in house.
What drives the price
The published price is the starting point for AI client service. The final scope depends on a few factors:
- Number of channels: one phone line or phone plus several messengers and a website chat.
- Booking complexity: one calendar, or several specialists, branches and service durations.
- Integrations: whether we connect a CRM or booking system and how open it is.
- Languages: one language or several, in voice and in text.
- Size of the knowledge base: ten services or a catalogue of hundreds.
- Handover scenarios: how many routes to people and how detailed the brief must be.
We fix the scope and the price in writing after the free audit, before any work begins. Nothing is added later without your agreement.
Provider costs are paid separately
Telephony, voice and AI model accounts are registered to you. You pay providers directly and see every invoice. We do not resell minutes or tokens with a markup.
- Telephony: a phone number and call minutes.
- Voice: speech synthesis for phone conversations.
- AI model: the language model that understands and answers.
These costs depend on how many calls and messages you receive and how long the conversations are. During the audit we explain which plans apply to your volume, so the full monthly picture is clear before launch.
Owning the accounts matters for another reason: the system and its data stay yours, whichever format you choose.
How to judge whether it pays off
We do not promise a return, because it depends on your traffic, prices and team. You can, however, estimate it with simple arithmetic: missed enquiries per day × 30 × your conversion rate × your average order. The prices above apply to AI client service only. Sales, marketing, CRM and process automation, websites, apps and internal tools are estimated after the audit, because their scope varies far more.
How it differs from a template chatbot
A template chatbot follows fixed buttons and scripts. When a client writes something unexpected, it stalls or sends them in circles. An AI administrator understands free speech and text, answers from your knowledge base in the client’s language, books into a real calendar and knows when to step aside for a person. That is where the implementation work goes: not into the chat window, but into knowledge, rules and connections to your systems.
What to prepare for the audit
- Your current price list and list of services.
- The questions clients ask most often.
- How booking works today and who handles it.
- Rough enquiry volume by channel, even if it is an estimate.
This is enough for us to show the scope, the price and the first demo.
Are there hidden fees?
No. You pay the agency fee in the chosen format and the provider accounts registered to you. The scope and price are fixed in writing before the work starts.
Why is the minimum support term 6 months?
Support covers the period when the system works on real enquiries and we tune it from monitoring. If you prefer to own and maintain it yourself, choose the one-time handover.
